1. Legal basement suite:

Legal basement suite:English owner coordination worksheet
This legal basement suite worksheet is for sharing decisions with an English-speaking designer, contractor or family member. It is a project-management aid, not a substitute for drawings, an inspection or a legal opinion. Use one dated issue register rather than several conflicting message threads. For every unresolved item, record the evidence needed, the person responsible and the decision that must wait. The most useful outcome of an early meeting is a clear list of unknowns, not a premature promise that the project can start.
A. Define the intended use
Write down whether the basement will remain part of the household, become a new self-contained dwelling, or be reviewed as an existing suite. Describe who will use the space and whether any areas will be shared. Gather available drawings and permit records, then ask the design team to compare them with the actual layout. Keep gaps visible. A renovation invoice, listing description or separate entrance should not be treated as evidence that the proposed use has been approved.
B. Build a measured-condition record
Ask for a coordinated survey of the rooms, stairs, beams, ducts, windows, proposed floor build-up and proposed ceiling construction. Photograph visible conditions with locations and dates, while avoiding tenant belongings and personal information. Mark inaccessible areas as unverified rather than guessing what is behind a finished surface. Before choosing expensive structural work, compare the design options with the responsible professional. A lower floor may affect drainage, foundations, access and the construction sequence; those consequences belong in the scope discussion.
C. Coordinate the drawings before pricing
Request a single consistent drawing set with a revision date. Ask how the layout handles separation, exits, ventilation, maintenance access and privacy. Identify where new pipes or ducts cross an assembly so the relevant designer can resolve the detail. Decide where shut-offs, equipment and service access will be located without casually routing maintenance through someone else’s private living area. These are practical coordination questions for the team to answer, not instructions for an owner to improvise a construction detail.
D. Assign each submission
Make a responsibility list covering the owner, designer, engineer where needed, general contractor and electrical contractor. For each relevant application, record who prepares it, who submits it, who answers comments and who retains the final documents. Keep submitted drawings separate from approved drawings. Ask whether a revised appliance, wall or service arrangement changes the approved scope before ordering it. Where municipal and electrical processes run separately, give each its own tracking line so that one approval does not hide an outstanding task.
E. Compare quotations on equal scope
Ask each bidder to identify included work, exclusions, allowances, investigation requirements and assumptions about existing conditions. Compare the same drawing revision. Separate optional finish upgrades from work needed to address the agreed scope. Write down the process for pricing a change before it proceeds, including its schedule effect. An inexpensive quotation with undefined drainage or structural assumptions is not directly comparable with a detailed one. The objective is an understandable commitment, not a headline number with unresolved work pushed into later invoices.
F. Plan the hold points
Create a construction sequence showing when work must remain accessible for review and who requests each required inspection. Ask the contractor how the upstairs household will be protected from dust, noise, temporary service interruptions and changing access routes. Confirm these arrangements before demolition. Keep a record of inspection results and outstanding items. When a drawing change is needed, identify the decision-maker and the work that must pause. Do not let a finishing schedule silently override a required check.
G. Agree the handover evidence
Before final handover, review the document list with the team and identify anything still outstanding. Retain the approved scope, revisions, inspection records, relevant electrical acceptance document, equipment information and agreed maintenance instructions. Ask the municipality about the project’s occupancy requirements and obtain appropriate advice on insurance and rental obligations. Do not describe a suite as ready merely because the paint is dry. A useful handover makes the remaining responsibilities understandable to the owner and provides a record for future maintenance or proposed changes.

Legal basement suite
